Agents can set up clients to receive automated email notifications using Private Client Services™(PCS™).
Step One - Set up the Client
1. Click the Clients tab.
2. On the left hand side, click the blue Actions button. A drop down menu will open, like below. Click the New Client at the top of the menu to create your clients new profile.
3. Starting on the General tab of the client's profile, you can enter the client name and optional contact information. The only requirement in this screen is a first name; the email address can be added in an upcoming step.
4. In the top left hand corner, click PCS. The screen will open to the Settings tab.
5. You can now select how often the client receives notifications in the Notification Frequency drop down. The email address(es) can also be added in this screen. If they have multiple email addresses or have multiple buyers looking together for property, they can all be listed in the additional addresses field.
Under the client's email addresses, you will see the Realtor Notification. If you do not want email notifications, click the clear button.
**Ensure you do not enter your clients email address in this field.
6. The next step is to set up your search criteria. Click the New Search button in the top left hand corner.
You can now enter a title and description as needed. The title will show on the main client tab so, if your client has multiple searches within the same board a good title will save time if you need to make adjustments down the road.
Other options that can be toggled are:
- Allowing the client to view a summary of their search criteria
- Allowing the client to manage and change their search criteria
- Once a listing that did match their search criteria sells, you can choose to hide the sold listing.
- Queue a listing will alert you when a listing matches the clients criteria and you can verify its a good fit before releasing the property to the client. This can be useful if the search criteria fields do not allow you to be set the criteria as needed.
Scrolling down the page, you will then see all the boards search criteria that is available. As you select the criteria you can preview the listings by clicking the preview button at the top of the criteria (highlighted below).
The criteria will be in the terminology of the board you are searching in.
7. Click the save button, next to the preview button, to complete the clients profile.
8. A confirmation pop up will confirm the profile has been created. Click OK to send the client their activation email. This can be resent from the main client page if needed.
